The Recruitment Team’s mandate is to identify exceptional staff to advance Mercy Corps’ mission. As part of the Leadership and Organizational Effectiveness Team, the Recruitment Team is committed to delivering and maintaining optimum recruitment support to clients throughout the agency. In a highly competitive market, this objective is accomplished by pursuing outstanding talent through online recruitment services, sectoral fora and cutting-edge graduate programs, networking with current and former staff and external advertising. The team divides its work along geographical and departmental lines to encourage the development of strong, long-term relationships with field and domestic management and in-depth understanding of staffing issues related to particular departments and programs.
GENERAL POSITION SUMMARY:
As a member of the Recruitment Team, the Recruitment Assistant (RA) will provide administrative support to ensure the timely and responsive recruitment of team members for international and domestic positions. The RA will interface extensively with other Mercy Corps departments as well as with external stakeholders; thus, mature, professional representational skills are key. The RA will manage multiple tasks and track the progress of longer-term assignments. Depending on past experience and aptitude, the RA may also assume full recruiting responsibility for certain entry level positions, as identified by the Director of Recruitment and Retention.
ESSENTIAL JOB FUNCTIONS:
- Advertise all new positions as requested by recruiters, ensuring professional, comprehensive presentation of the open position appropriate to the venue. - Diversify Mercy Corps' sourcing of potential candidates by identifying alternate advertising venues and hiring pools, to support objectives to recruit a highly qualified, diverse team. - Conduct reference and background checks on final candidates, as requested. - Advertise, screen, interview and recommend finalist candidates for consideration for selected entry level positions. - Track metrics relevant to the recruiting function, including time to hire, quality of hire, and others as deemed appropriate by the Director of Recruitment. - Ensure that all required information is kept up-to-date on Mercy Corps’ Applicant Tracking System, including creating and maintaining user logins and passwords, basic data entry, and filing, when necessary.- Manage the administrative responsibilities associated with maintaining an efficient and world-class recruitment operation, including preparation of all documents required for the final offer letter.- Conduct informational interviews with external parties, as requested by the Director. - Liaise with Donor Services in responding to general recruitment-related queries received from external parties. - Perform other duties as required.

WORKS DIRECTLY WITH: Recruitment Team of three in Portland, OR. and one in Belgrade, Serbia; Executive Counselor, Human Resources, Program Department, Technical Support Units, Finance, and Resource Development
KNOWLEDGE AND EXPERIENCE:
- Formal training in human resources, business administration or other relevant field. - Proficiency in Microsoft Office (Word, Excel, Power Point) required.- Minimum 2 years administrative support experience in a fast-paced office setting required; previous recruiting experience preferred.- Excellent problem-solving, interpersonal and organizational skills required- Previous experience in international or non-profit work or a demonstrated interest in these fields preferred - Excellent written and spoken communication skills essential.
